In February 2024, Notion, a well-known personal knowledge base/team collaboration software, announced the acquisition of the privacy-focused end-to-end encrypted productivity platform Skiff, which provides its own email service (Skiff Mail). After the acquisition, Notion closed the Skiff mailbox and other services in August 2024. Then Notion developed its own email product based on this mailbox and launched Notion Mail in April 2025.

Notion Mail is not a traditional email service, but an email client product. Users can use this email client to connect to Google Gmail mailboxes. Therefore, the main content such as emails is still stored in Google, but some personalized data such as code snippets, custom automatic label instructions, email drafts and plan drafts are stored on the Notion server.

Notion Mail will be closed on September 22:

Notion recently issued a product change announcement, announcing that the Notion Mail email client will cease service on September 22, 2026. From now on, users can access the client or the web version to export all their data. The deadline for data export is September 21, 2026. Users must export their own data in time. After expiration, Notion will permanently delete all unsaved data, including files attached to code snippets, but existing database synchronization and mail blocks will be retained, but users will not be able to receive new mails after the system is shut down.

If you are an enterprise-level user, you need to consider compliance issues. Notion says that if you or your company operates in a regulated environment, you must complete the transition earlier than the official shutdown date to ensure compliance. Companies that rely on HIPAA protection face an even tighter time limit. These companies must complete the platform migration by June 30, 2026 (4 days later).

The reason for closure is AI impact, users do not need email clients:

The explanation given by Notion for closing the mail client product is that the company believes that there is no need to continue to maintain an independent mail client. Now many users are accustomed to using automated operations, such as using AI agents to view emails, reply to emails, generate drafts, organize emails, etc. Notion even revealed that more than 50% of Notion Mail users are already using AI agents to manage emails without opening the actual inbox.

Therefore, Notion’s idea is to continue to develop inbox products suitable for AI agents. This product is actually Notion’s Gmail AI connector. The connector can continue to access the Gmail mailbox to read all emails and send emails through AI agents, etc., so Notion emphasizes that email workflows will continue to be saved in Notion.

Notion continues to provide email services based on AI agents:

  • Gmail AI Connector: Use Notion AI to search messages from Gmail and generate replies

  • Email modules: Email modules that have been added to Notion notes can continue to be retained.

  • AI agent tool for Gmail: This tool has the ability to read all emails in Gmail, compose emails, and send emails
