Google extends Gmail AI Inbox to Workspace users; administrators cannot turn off the feature yet

📅 2026-10-16

Abstract:

Google announced that it has begun promoting the Gmail AI Inbox feature to users of the paid version of Google Workspace, aiming to help corporate and institutional users handle daily work tasks more efficiently. The feature was officially launched earlier this year and was previously only available to English-speaking users in the United States.

According to reports, Gmail AI Inbox will automatically extract to-do items in the inbox and generate a summary of important email updates to help users track work progress and business processes more easily. By analyzing email content with AI, the system can identify action items, deliverables, and deadlines, reducing the time required to manually sort through and read large email threads.

In terms of the to-do list function, AI Inbox can automatically extract key tasks, follow-up actions, and time points from email exchanges, allowing team members and managers to quickly grasp the work content that needs to be performed without manually recording or reading complex email discussions.

At the same time, the email summary function can summarize and organize multiple related emails and long conversations, and generate a brief summary containing background information and context, helping users quickly understand the latest decisions, project changes, and discussion results, thereby reducing the burden of reading the complete email chain.

This feature will be available on both Gmail web and mobile apps. Currently only available to users located in the United States and whose account language is set to English (United States). Google Workspace plans with access to AI Inbox include Business Starter, Business Standard, Business Plus, Enterprise Starter, Enterprise Standard, Enterprise Plus, AI Pro for Education, and Frontline Plus.

However, Google also confirmed that this feature currently does not provide administrator control options. This means that for eligible organizations, after the function is launched, Workspace administrators cannot uniformly disable AI Inbox through the management background.

For business managers and team leaders, the launch of AI Inbox is expected to improve the efficiency of tracking key tasks and project status changes. With automated extraction and summarization capabilities, users can quickly identify matters that need follow-up, reduce the risk of missing important tasks, and save time spent processing emails.

In terms of deployment plans, the Workspace domain name using the Rapid Release update strategy began to go online in phases four days ago, and the entire deployment process is expected to last up to 15 days. Domain names using the Scheduled Release update strategy will gradually receive this feature starting from October 26, and it may also take up to 15 days to complete full deployment.
